Monthly bookkeeping and reconciliations
Most small business books fail in the same two places: transactions categorized wrong, and accounts that never get reconciled. Both compound, and by the time a loan application or a tax deadline forces the question, the profit number the owner has been watching all year is wrong.
How we handle it
We run your books on QuickBooks Online or Xero on a monthly cycle. Every transaction is categorized against a chart of accounts built for your business, every bank, credit card, and loan account is reconciled to the statement, and payroll from your provider is booked correctly, including the employer taxes owners routinely miscount as profit. You get a profit and loss statement, balance sheet, and cash flow summary on the same date every month, with a short note on anything that moved and one batched question list instead of a drip of emails.

Catch-up and cleanup bookkeeping
Many businesses come to us behind: months or years of unrecorded activity, a QuickBooks file that no longer matches the bank, balances that have been wrong since an old bookkeeper left. The filing deadlines come due whether or not the books are ready.
How we handle it
Cleanup is one of the most common ways an engagement starts. We rebuild the ledger from bank and credit card records, fix miscategorized history, reconcile every account to the statements, and clear the junk balances that accumulate in accounts nobody reviews. The deliverable is a books-to-bank reconciliation your tax preparer, your lender, or an auditor can rely on, brought current through the most recent closed month, then kept current monthly so the backlog never rebuilds. Cleanup is quoted as a one-time project alongside the monthly price, typically one to two months of the recurring fee.

We build the chart of accounts so it answers the questions you actually ask, by location, product line, or job, and we review margins as well as totals. The point of the books is to make better decisions, and that only happens when the reports are built to be used.

Tax-ready books and a clean year-end handoff
Tax season is a bookkeeping deadline before it is a tax deadline. 1099s go out January 31, pass-through returns are due in March, and personal and C corporation returns follow in April. Books that are behind or wrong turn each of those into a reconstruction billed at tax-season rates.
How we handle it
Because the books close every month, year-end is fast: the package is assembled from books that are already done. We deliver final reconciled statements, the general ledger, loan and fixed asset schedules, and the contractor payment detail that feeds 1099-NEC filings, in a form your tax preparer works from directly. How we handle it
Most of the small businesses we work with are on QuickBooks Online, so that is where we keep the majority of our clients, and it is what we recommend when a business is choosing a platform. We also work in Xero, and for larger or more complex companies, NetSuite and Sage Intacct. If you are on desktop QuickBooks, spreadsheets, or a shoebox, migration to QuickBooks Online is part of the setup, and you keep full ownership of the file. We connect read-only bank feeds and the apps your business uses so the monthly close is as automated as it can safely be.

What's included in your bookkeeping services?
We handle the core monthly accounting, including transaction categorization, bank and credit card reconciliations, and monthly financial reporting. Our goal is to keep your books accurate, organized, and ready for tax preparation.
How much does bookkeeping cost?
We are very transparent with our pricing, and hence have provided tiered fixed pricing above. Pricing depends on the size and complexity of your business, including transaction volume and number of accounts. There are no contracts, and engagements are month-to-month, with 30 day notice to cancel by either party.
Note that the monthly tiered pricing above is for the core monthly bookkeeping services. If your books have not been maintained well until now, there may be a one-time “clean up” or “catch up” service to reconstruct the past months/years of accounting (typically estimated at 1-2 months of the monthly recurring fee).
What are your renewal terms or commitments?
Our bookkeeping services are typically structured on a month-to-month basis with no long-term commitment required. You can continue, adjust, or cancel services as your business needs evolve, with simple notice terms outlined upfront. Services are automatically renewed monthly until cancelled, with 30-day notice.
Do I still need a CPA or tax preparer?
Yes. We are CPAs, and can prepare your tax returns as well, for a separate fee. Or we can work alongside your current CPA by maintaining clean, tax-preparer ready books. Whether we prepare your taxes or someone else does, us preparing the bookkeeping helps streamline tax filings and reduce back-and-forth at year-end.
How often will my books be updated?
For monthly bookkeeping clients, we update and reconcile your accounts at the end of each month and provide financial reports on a consistent timeline. (We can of course update your books more frequently than that, for an increased fee.)
Can you help if my books are behind?
Absolutely. We offer clean-up and catch-up services to bring your books up to date, whether you’re a few months or a few years behind. These are billed as one-time charges (typically estimated at 1-2 months of the monthly recurring fee).
What software do you use?
We primarily work with QuickBooks for small- and medium-sized businesses, and can help set up, clean up, or optimize your system to ensure everything runs smoothly. (We can work with other software as well, such as Xero or NetSuite. Inquire for more information.)
Do I need to switch banks or systems to work with you?
No. We work with your existing accounts and tools whenever possible and can integrate directly with most major banks and platforms.
Will I have access to my financials?
Yes. You’ll have full access to your accounting system and receive clear monthly reports so you always understand your financial position.
How involved do I need to be?
As much or as little as you prefer. Some clients stay hands-on, while others fully outsource the process. We adapt to your level of involvement.
